Price from realistic capacity

Total working hours are not billable hours. Sales, administration, learning, marketing, leave, and project gaps consume capacity. Divide required annual revenue by a realistic billable base to find an economic floor.

Add software, insurance, professional services, equipment, payment fees, bad debt, and desired profit. Tax is usually reserved from profit or owner income rather than treated as client-visible value.

Allocate risk by pricing model

Hourly pricing leaves more scope risk with the client but can punish efficiency. Fixed project pricing transfers estimation and revision risk to the freelancer, so assumptions, deliverables, dependencies, change control, and contingency matter.

Retainers can reserve access, response time, or deliverables. Price the capacity being held, define rollover and overages, and avoid discounting away the value of reliable availability.

Close the loop with effective rate

After delivery, divide revenue by every hour spent, including sales, meetings, revisions, administration, and collection. Compare the result with the required rate and record why the estimate differed.

Effective hourly revenue is not profit. Subtract project expenses and allocated business costs, then use the learning to improve scope, process, qualification, or price on the next engagement.
