Calculate nowTotal working hours are not billable hours. Sales, administration, learning, marketing, leave, and project gaps consume capacity. Divide required annual revenue by a realistic billable base to find an economic floor.
Add software, insurance, professional services, equipment, payment fees, bad debt, and desired profit. Tax is usually reserved from profit or owner income rather than treated as client-visible value.
Hourly pricing leaves more scope risk with the client but can punish efficiency. Fixed project pricing transfers estimation and revision risk to the freelancer, so assumptions, deliverables, dependencies, change control, and contingency matter.
Retainers can reserve access, response time, or deliverables. Price the capacity being held, define rollover and overages, and avoid discounting away the value of reliable availability.
